INFORMATION REQUIRED UNDER SECTION 4(1)(B) OF THE RTI ACT, 2005
(i)
| The particulars of its organization, | Sushma Swaraj Institute of Foreign Service (SSIFS) was established in 1986 by the Ministry of External Affairs, Government of India, primarily to cater to the professional training needs of the Indian Foreign Service (IFS) officers inducted via UPSC every year. Over the years, SSIFS diversified its activities to include Mid-Career Training Programmes at various levels, training programme for First Time Heads of Mission, training programme for Commercial Representatives posted in Indian Missions abroad, training programme for Defense Attaches posted to join our Embassies around the world, orientation courses for deputationists and members of other Civil Services, courses of relevance to non-Representational Grade officials of the Ministry as also courses for foreign diplomats as a way to build bridges of friendship and cooperation with countries around the world. Sushma Swaraj Institute of Foreign Service is headed by the Dean (SSIFS) SSIFS has the following sections:
Each section is headed by a Joint Secretary (JS) rank officer. |

| The powers and duties of its officers and employees; | Dean (SSIFS) has delegated financial powers upto Rs. 2,50,000/- only

| The procedure followed in the decision making process, including channels of supervision and accountability; | Officers of different sections initiate and take follow up action, with the help of staff posted under them in accordance with departmental instructions which prescribe the level of final disposal and channel of submission for each category of cases. Decisions are taken under the instruction and supervision of the Dean. Final decision making authority in the SSIFS is the Dean. |

| The norms set by it for the discharge of its functions; | Norms are set under the instruction and supervision of the Dean. |

| The rules, regulations, instructions, manuals and records, held by it or under its control or used by its employees for discharging its functions; | SSIFS utilizes relevant rules, regulations, and orders of the Government of India, such as Civil Service Conduct Rules, Central Civil Service Leave Travel Concession Rules, Central Service Leave Rules, Civil Service Pension Rules, Provident Fund Rules, General Financial Rules, Fundamental and Supplementary Rules etc. These rules are in the public domain as printed, priced publications. |

| A statement of the categories of documents that are held by it or under its control; | Classified documents and Unclassified documents/files including MoUs. All Section maintain files and documents related to their respective areas of work. |

| A statement of the boards, councils, committees and other bodies consisting of two or more persons constituted as its part or for the purpose of its advice, and as to whether meetings of those boards, councils, committees and other bodies are open to the public, or the minutes of such meetings are accessible for public | Local Purchase Committees are formed for procurement of goods & services of values between Rs.25,000/- and Rs. 2,50,000/- Tender Evaluation Committee are formed for each tender for evaluation of technical and financial bids for procurement of goods & services above Rs. 2,50,000/- Further, SSIFS has also constituted Travels Committee to identify lowest bid for hiring of vehicles for various training at SSIFS. These Committees are constituted with Dean (SSIFS)’s approval. Members of the various committees include JS(SSIFS), DS(SSIFS), SO(SSIFS-Admin), SO(SSIFS-FT/NRG), PS to Dean, PPS to Dean and representatives from other divisions of MEA, depending on the subject of the tender. |
